Application Process Vendors

Interested vendors are to submit the Application Form by June 14, 2024 at 5 p.m. Applications will be reviewed by the Ottawa Christmas Market Committee Members, and with regard to a number of factors, including weekend availability, and how well the products fit within the plans for Ottawa Christmas Market 2024 (OCM). Select applicants will be contacted via email by July 5, 2024, and will be required — as a condition of participation in the OCM — to sign a Facility License Agreement, which sets out the terms and conditions of vendors’ participation. Failing to sign the Facility License Agreement by the specified date (see below) will lead to an applicant’s application being rejected.

AGREEMENT SIGNED AND PAYMENT INFORMATION DUE DATE:

If your application is selected, you will need to (i) sign and return the Facility License Agreement to the Ottawa Christmas Market Committee, and (ii) provide payment information, no later than July 31, 2024. Only on completing these steps will you be confirmed as an OCM vendor (“Vendor”). Only Credit Card and direct deposits will be accepted. Cheques are not accepted. Payment completion will be determined at a later date and you will be notified.

ELECTRICAL SUPPLY:

TD Place shall provide each Vendor with access with two (2) outlets (minimum 30 amp – INT – dedicated circuits). Any additional electrical supply required by the Vendor shall be charged as an Event Expense (as defined in the Facility License Agreement).

SIGNAGE:

All signage shall be provided by TD Place, at its cost. Vendor shall not place, affix or maintain any signs, advertising placards, names, insignia, trademarks, descriptive material or any other similar item or items in, on or attached to the cabin. The signage graphics, materials, color, design, lettering, lighting, size, specifications, manner of affixing and exact location of the signage shall be at TD Place’s sole discretion. All signage shall remain the property of TD Place.

EXTERIOR DECORATIONS/LIGHTING:

All exterior decorations and lighting shall be provided by TD Place, at its cost. Vendor shall not place, affix or maintain any decorations or lighting on or attached to the cabin. All exterior decorations or lighting shall remain the property of TD Place.

INTERIOR DECORATIONS/LIGHTING:

All interior decorations and lighting shall be provided by the Vendor, at its cost. Each Vendor is required to decorate the interior of the cabin using a Christmas theme. The decorations, lighting and manner of affixing shall be approved by TD Place’s site contacts. All interior decorations or lighting shall remain the property of the Vendor.

PERMITS AND INSURANCE:

Each Vendor warrants that it will have, during the OCM event dates: (a) commercial general liability insurance coverage of not less than one million dollars ($1,000,000.00) per occurrence in respect of injury, death or property damage arising out of Vendor’s use of the cabin, (b) if selling alcohol, insurance coverage of not less than one million dollars ($1,000,000.00) per occurrence in respect of injury, death or property damage arising out of Vendor’s sale of alcohol, and (c) if selling food and beverage, a “Special Event Application for Food Vendors” issued by the City of Ottawa is required https://forms.ottawapublichealth.ca/Special-Event-Application-for-Food-Vendors.

The insurance policies shall endorse and name Lansdowne Stadium Limited Partnership (1015 Bank Street, Ottawa, Ontario, K1S 3W7) as an additional insured. Such insurance policies shall be primary and non-contributory and not as excess of any insurance available to TD Place. As a pre-condition to commencement of the license, the Vendor shall produce proof of the foregoing on or before October 1st, 2024.
